Terms and Conditions

Please read these Terms and Conditions carefully before making a booking. By completing your booking, you agree to comply with these terms. If you do not agree, please refrain from proceeding with your order. For any clarifications, contact our Admin Team at bookings@focusedevents.com or call us on 01798 812704.

After your order is placed, you will receive confirmation emails. Please review the details carefully and inform us immediately if there are any discrepancies.

Cancellations & Charges

UK Events:

  • Cancellations made within 10 days of the event are non-refundable.
  • Name changes within 10 days of the event are subject to a £15.00 administration fee.
  • Name changes outside of this 10-day window are free of charge.
  • Cancellations outside of 10 days will result in a credit note.
  • If a deposit is paid with the intention to pay the balance on the day, the full event fee will be charged if attendance is not met.

European Events & Off-Road Events:

All deposits are non-refundable and non-transferable. Cancellations within 28 days of the event start date will result in a full loss of all payments made.

  • We are unable to offer any refunds, transfers, or free of charge changes within 40 days of the event.
  • Name changes are free up to 40 days before the event. Between 40 and 28 days, a £85 fee applies. No name changes to be made after 28 days.
  • For cancellations between 40 and 28 days, any payments made towards the final balance will be transferred to a credit note upon request. Credit notes are valid for one year and are non-refundable and non-transferable.
  • Refunds to credit/debit cards may take up to 10 working days.
  • Event charges may change up to 15% within 14 days of the event.
  • Weather-related cancellations by the circuit are not the responsibility of Focused Events.
  • Focused Events are not responsible for European circuits cancelling, terminating or adjusting dates and any associated third-party costs because of this
  • We maintain the right to cancel any reservation or booking up to and within 12 hours of an event. We will transfer any cancelled booking to an alternative event, any price difference will need to be paid by the customer, or issue a credit note for use later. The credit note does not have any time limit applied.

Important Note: Focused Events is not responsible for third-party costs incurred due to cancellation, changes to flight schedules or actions and considerations of airline staff.

VAT invoices/receipts are available for a £10 admin fee.

Standard Terms and Conditions

Rider Requirements

  • You must bring the photocard element of your full, unrestricted UK driving licence (not restricted to 33bhp or 47bhp) to registration. If using an ACU licence, you must be 18 or older and MUST bring your passport to confirm your age.
  • Photocopies will not be accepted.

Riders must wear the following while on the circuit:

  • A one- or two-piece leather suit that MUST zip fully around the body.
  • A helmet meeting BSI 6658 Type A and ACU gold stamp
  • Leather motorcycle boots and gloves (ideally with a cuff strap).
  • A back protector.
  • Titanium sliders and boot edges are prohibited.

Registration & Safety Briefing

  • Registration opens at 08:30 am; the Safety Briefing begins at 09:30 am*
  • Riders missing the Safety Briefing will miss their first session.
  • You must present your driving licence/ACU licence at registration.

Please note that Focused Events reserve the right to change requested rider groups and group structure without prior notice.

Communication

It is the responsibility of the customer to ensure that Focused Events has accurate and up-to-date email contact information at the time of booking. Customers booking on behalf of others are responsible for forwarding on all correspondence to their group.

All customers are responsible for regularly checking their inbox and junk/spam folders to ensure they receive communications from FE.

Insurance

It is a requirement for ALL riders to have sufficient medical insurance to cover you for race circuit activity on a motorbike. This is to ensure that, in the unlikely event of an accident, the proper medical cared can be given and if required, repatriation can be provided.

  • Track Day Insurance is mandatory for European events, covering a minimum of €50,000 private medical care and repatriation costs. We will not accept insurance policies that do not have this level of cover as a minimum. Customers aged 70 and over must ensure appropriate accident insurance for European events.
  • UK Global Health Insurance Card (GHIC) is recommended for emergency medical cover during European events. They are free and all you need is your name, address and NI number.
  • Personal Travel Insurance is optional but highly recommended to cover you for any travel cost reimbursement, depending on policy, should you be unable to attend or for valuables that may be stolen or misplaced on your trip.

Vehicle Requirements and Noise Restrictions

Your vehicle must be in good condition mechanically and suitable for its intended use on the track. It is your responsibility to maintain this condition for the duration of the activity, in the interest of safety for you and others at the circuit.

The bike you intend to use must comply with the circuit’s noise regulations and it is your responsibility to ensure this.  Focused Events is not liable for any issues related to noise compliance. If your bike does not comply, you will be prevented from riding until the noise emissions are addressed.

Non-compliant machines may be prohibited from riding, and no refunds or credit notes will be issued in such cases where you are unable to take part in the event.

Acknowledgment of Risk

Motorsport is inherently dangerous and involves risks of injury or death, despite Focused Events or RCMS.SL taking all reasonable precautions. By participating in a track day, you acknowledge and accept the risks associated with the activity, attending at your own risk.

Once you enter the race circuit, Focused Events or RCMS.SL are not liable for any accidents or injuries. If you are not willing to accept these risks and wish to hold others accountable, we advise against participating. Please do not enter the Race Circuit if you are not prepared to accept that with the freedom circuit riding offers, comes inherent risks and it is not in the nature of the sport to make claims against others or the track event providers for accidents.

Focused Events reserves the right to remove any participant whose behaviour threatens safety or could result in damage or injury.

Focused Events or RCMS.SL are not responsible for any loss, damage, or injury to persons or property resulting from your participation in a track day, except in cases of death or personal injury arising from Focused Events’ negligence or fraudulent misrepresentation.

All European events are managed and controlled by Race Circuit Management Services SL (RCMS.SL), to whom you will be subject to their terms and sign their indemnities. RCMS.SL is solely responsible for managing all Euro Events you book through Focused Events, including its risk assessments and public liability insurance. Company number is BO4850608. These events are not packaged holidays, but track-day experiences organized by RCMS.SL. Focused Events collaborates with RCMS.SL to professionally manage and be responsible for these events, FE pay a portion of your fee to RCMS.SL to ensure the highest quality service for your European track day.

Removal of Customers from Events

Focused Events reserves the right to remove any participant from an event, either before or during the event, if they are deemed a risk to themselves or others. We also reserve the right to remove attendees who make defamatory statements, engage in slanderous behaviour, or act in ways that are detrimental to Focused Events, RCMS.SL, staff, other participants, or the event.

While we support free speech, we do not tolerate slanderous comments or harmful conduct. If a participant is removed, Focused Events will not be responsible for any associated costs.

Additionally, participants who are disrespectful to Focused Events staff or other attendees will not be allowed to continue at the event. If a participant is removed from an event, they will forfeit any deposits or payments made in accordance with the payment terms.

Drones, Photography and Production of Coverage:

Drones are strictly prohibited unless prior written permission is obtained from Focused Events. Licences and insurances would be required on application, but this is not a requisite for approval.

Photographers are also prohibited unless authorised by Focused Events.

  • Riders and guests are not permitted to take commercial photographs or videos without the prior consent of Focused Events.
  • Guests are allowed to take still photographs for personal, non-commercial, and non-promotional use only.
  • Focused Events cannot guarantee the attendance of a professional photographer at all events. Any photos or videos purchased directly from a professional photographer will be subject to their own terms and conditions.
  • Focused Events will not be held responsible for any disputes arising from services provided by professional photographers.
  • Tank mounted cameras and brackets or helmet mounted cameras are NOT permitted.

External Instructors on RCMS.SL events

We have an extensive team of qualified instructors to assist customers of all levels on the Race Circuit. If you wish to use your own instructor, please ensure they submit their current CV, Risk Assessment, and Public Liability Insurance to Focused Events for approval. Once reviewed, we will determine whether the instructor can be permitted.

Independent instruction outside of this process is not permitted.

On-the-Day Bookings

An on-the-day booking will incur a surcharge of £15 to £20. Please note that availability cannot be guaranteed, and the surcharge may vary depending on the size of the event.

 Offers and Deals

All offers and deals are subject to these terms and conditions.

  • Discounts, credit notes, and seasonal offers cannot be combined with other promotions.
  • Credit notes are not valid for deposits on European bookings.

Gift Vouchers

Gift vouchers are valid for one year, non-transferable, and non-refundable. Minimum purchase value is £50. Vouchers can be refunded within 14 days of purchase, subject to a 15% cancellation fee.

No cash refunds are allowed.

Season Tickets

  • Season Tickets are non-refundable, non-transferable, and valid for 12 months from the first use.
  • Season Tickets must be activated by attending your first event within 2 months of purchasing the season ticket.
  • Events must be attended within this time limit.
  • Cancellation of an event once booked is subject to the standard terms and conditions.

Hotel and Booking Changes

1. European Events Accommodation:

  • Hotel accommodation is subject to change due to late bookings, change requests, and room availability. Focused Events reserves the right to change the accommodation on offer for European events.
  • Single Room/ Non-Rider Supplements are on a request only basis and dependant on room availability.
  • Accommodation prices and event package costs are based on two riders sharing a room. If you wish to bring a guest, a non-rider accommodation supplement will apply. If you wish to book a single room, a single-occupancy upgrade fee will be charged.
  • In the case of requiring extra nights – if a twin share cannot be facilitated, the customer will be required to pay the necessary single supplement charge.

2. Booking Changes and Charges:

  • Customers who arrive at a hotel without a pre-booked single room will be charged double the single rate. This is because they are required to pay for both the room allocated to them and the room they are vacating.
  • Customers who arrive with partners or friends not previously booked will be subject to the same charges. If they vacate a room on arrival, they will be responsible for paying for that room.
  • Customers who have booked a single room but arrive with an un-booked guest will be required to pay the additional guest cost, plus a 10% administrative fee.
  • Customers who change their rooming requirements upon arrival at the hotel will be responsible for all associated costs.

3. Accommodation Availability and Changes:

  • Each hotel has a limited number of single rooms available. The maximum number of single rooms is typically 10% of the total available rooms for the event. This may increase if the event is not fully booked.
  • Accommodation requests made within 28 days of the event will be subject to availability and cannot be guaranteed.
  • All accommodation upgrades, room share requests, and additional nights must be confirmed in writing via email or through the completion of the event extras pack.

4. Payment Terms:

  • If the full balance due for accommodation extras is not paid within 7 days of the booking closure date, Focused Events reserves the right to cancel the booking or accommodation extras, with the loss of the booking fee and deposit.
  • If you are in a twin room sharing, and you book additional nights but your room share partner does not, you will be responsible for paying the single room occupancy rate for the duration of those nights.

5. Damage to Hotel Property:

  • Customers will be charged by Focused Events for any damage caused to hotel property during their stay.

Carnet Costs

  • For Euro events, your carnet fee’s up to the value of £10,000 are included in your event booking cost. For values exceeding £10,000, an additional charge of £2.50 per £1,000 will apply.
  • This £2.50 charge is a security guarantee fee and covers the insurance required for the carnet value of your machine and kit. It is not the same as any additional insurance you may choose to add for your goods’ value.
  • The carnet is a document that ensures goods temporarily imported into a country will be returned to the UK and not permanently exported. The insurance ensures the carnet is honoured, and the goods are returned as agreed. This is a Brexit requirement.
  • It is crucial that the declared value of your goods is accurate. If Customs finds the value to be incorrect during an inspection, the entire vehicle could be impounded, and your goods may be seized.

Motorcycles in Transit

  • Focused Events does not accept responsibility for any damage to paintwork that has not been applied and cured in an oven, or for any wrap damage.
  • We are not liable for any damage to bikes or kit loaded within a stillage. It is the customer’s responsibility to properly load the stillage and ensure the bike and kit are safely secured.
  • Any customers that fail to load their bike/ belongings after an event will be charged a weekly storage fee until transport is arranged. We are able to load your bike with written consent and once the customers bike/ belongings have been confirmed – Transport fees will apply.
  • Extra stillages are available at £350 (per stillage) and are subject to availability.

Bike Drop-off and Collection

  • Customers are allowed to bring one bike.
  • You will be contacted prior to the event regarding available bike drop-off and collection slots*. If you wish to drop off or collect outside of these times, an additional fee of £30 will apply. For any bikes not collected on the designated pickup date, a £30 weekly storage and insurance fee will apply until your machine and kit has been collected.
  • Northern drop-off and collection points are subject to a minimum number of riders and will incur additional charges.
  • Each customer is responsible for safely loading and securing their own motorcycle and kit, while taking appropriate care not to cause damage to the motorcycle or belongings of the customer using the opposite side of the stillage. Where a customer loads their motorcycle and leaves before the other occupant of the stillage has loaded, they do so at their own risk. By leaving the stillage unattended, the customer acknowledges that they will not be present while the other motorcycle and kit are being loaded. Focused Events cannot accept responsibility for any damage caused during the loading or securing of another customer’s motorcycle or belongings. Customers who choose to load early and leave their stillage unattended therefore accept the associated risk and responsibility

Drop-off and collection points

  • FE Office, Thakeham Yard RH20 3EW: Included in the event cost (£30 fee for midweek drop/pickup outside of allocated dates)
  • Lymm Services, WA13 0SP: £75 each way – £150 return (Drop and collection)
  • Hopwood Park Services, B48 7AU: £75 each way – £150 return (Drop and collection)

If you wish to bring a larger bike (e.g., adventure or touring type), please notify Focused Events in advance, as additional charges may apply depending on the size.

  • Permitted items:
    • One kit bag (up to 17 kg)
    • One toolbox (up to 15 kg)
    • One set of stands
    • One set of wheels or tyres (must comply with the limits specified in the pre-event pack)

Important: Focused Events will charge for any additional items or for any items that exceed the specified weight limits.

Focused Events Transportation Insurance Cover

The following inner limits will apply.

  • Clothing and Associated Kit
  • Tool and Toolboxes
  • Customers Bikes
  • Total value £10,000

Customers/owners must provide a fully valued inventory of all items deposited with Focused Events for transport, signed by the customers/owners of the goods before items are transported.

No cover is provided by Focused Events from the point at which the bike, kit and tools insured are off loaded at the Event(s) until such time as it is reloaded.

Personal

Effects and Tool Kits Insurance:

1.1. Professionally Packed Goods
Subject to the following clauses

  • Inventory Warranty: Assured that the full valued inventory is completed and signed by the owner of the goods prior to the commencement of transit.
  • Average Clause: This insurance is subject to average. In the event of the sum insured being less than the total value at the time and place of loss of the insured property, the Insured shall only be entitled to recover such proportion of the loss as the sum insured bears to the total value of the insured property.
  • Pairs and Sets Clause: Where an insured item consists of articles in a pair or set, the Insured shall not be entitled to recover more than the proportionate sum insured in respect of the part or parts which may be lost or damaged.
  • Depreciation Clause: Liability is restricted to the reasonable cost of repair and no claim is to attach hereto for depreciation consequent thereon. In no case shall liability hereunder for such repairs exceed the sum insured in respect of the damaged article.
  • Non-Contribution Clause: This insurance does not cover any loss or damage which at the time of happening of such loss or damage is insured by, or would but for the existence of this insurance, be insured by any other existing policy or policies.

1.2.  Owner-Packed Goods
Subject to all the same conditions as detailed in Clause 1.1 and additionally.

  • Excluding the risks of BREAKAGE, CHIPPING, BRUISING, SCRATCHING, DENTING, BENDING, AND MARRING absolutely

Excluded Goods:

  • Cash, bank notes, cheques, money orders, postal orders, national savings certs, premium bonds, stamps of any kind, travel tickets, passports, manuscripts or documents of any description, medals, coins, bonds, securities, traveller’s samples, jewellery, watches, personal ornaments, precious stones &/or metals, furs, and any other article of a like description. Mobile phones and electronic equipment such as but not limited to iPod, iPad, tablets, laptops satellite navigation equipment, bike cameras, cameras, and the like.
  • Perishable goods, acids, paints, aerosols, medication, and liquids of all descriptions.

Clause 1.1 New and/or Used Motor Vehicles and Motorcycles not exceeding 5 years old with reshipment certificate of condition.

Exclusions:

  • The risks of Electrical and Mechanical Derangement
  • Loss or damage arising from atmospheric or climatic conditions.
  • Loss or damage caused by freezing of coolant.
  • The risks of rust, oxidisation, or discolouration
  • Loss or damage to accessories unless declared prior to shipment.
  • Loss or damage whilst the insured vehicle is being driven under own power or whilst being towed except whilst being loaded or unloaded from the carrying conveyance.
  • The risk of confiscation

Clause 1.2 Used Motor Vehicles and Motorcycles over 5 years old and/or vehicles with no certificate of condition:

Subject to all the same conditions as detailed in Clause 1.1 and additionally:

  • Excluding the risks of BRUISING, SCRATCHING, DENTING, COST OF REPAINTING, RUST, OXIDISATION AND DISCOLOURATION

Absolute Exclusions:

  • Any claim recoverable under a policy of motor insurance
  • Third party liability

Hire Bikes

All hire bikes are subject to availability. Please contact us at 01798 812704 for more information before booking. The hire fee includes up to six sessions per event.

  • An indemnity deposit is required for all hire bikes, ranging from a minimum of £2,500 to a maximum of £2,800. This deposit  amount will vary depending on the bike hired and must be paid prior to activity on the circuit. The deposit will be refunded if the bike is returned in the same condition as when it was hired. In the event of damage, the deposit will be used for repairs, and you may be asked to cover any additional costs exceeding the deposit amount. If the bike is damaged, you may not be able to use it for the remainder of the event.
  • We reserve the right to change the model of the hire bike if the requested model is unavailable, however, it will be the same engine size.
  • Customers are responsible for the fuel used during the hire and must return the bike with a serviceable set of tyres. Customers must not adjust any settings on hire bikes. If any settings are altered, you will not be allowed back on track, and all fees paid will be forfeited.

Note: Hire bikes are not available for evening or open pit lane events. We do not allow the use of hire bikes from other companies for safety and insurance reasons.

Bikes on Holiday 

Bikes on Holiday insurance costs £109.00 per bike and is valid for 1 year. Storage fee for your machine and kit is £12.50 per month, based on attending a minimum of 2 events per year, charges will be due every 6 months or upon the departure of the Bikes on Holiday scheme.

A £50 per month storage fee will be applied to bikes left unused in Bikes on Holiday storage for 12 months or longer. After two years, the storage fee will increase to £200 per month.

To remove your bike from the Bikes on Holiday process, a £100 / €115 charge will apply for both removal and re-entry into storage. These charges must be paid in advance to prepare your bike and equipment. Please contact our office and submit your removal request in writing to bookings@focusedevents.com.

To request the return of your bike to the UK, please contact our office and submit your request in writing to bookings@focusedevents.com. Any outstanding insurance or storage fee’s MUST be paid prior to your bike being returned to the UK. Return requests are subject to availability and cannot be guaranteed, but we aim for your bike to be returned within 1 month.

Important Notice: The Spanish events calendar ends in May and return requests will not be confirmed after this period. Availability for returns is dependent on logistics, and if we cannot accommodate your request, your bike will remain at our fully insured premises in Almeria until September.

Please note that Season Tickets and Bike on Holiday discounts apply only to Almeria events. For all other European events, normal rates will apply, including transportation fees.

For events at Mugello Circuit, your bike will be returned first from Almeria to the UK, before being transported to Italy. This will complete your original return, and any future bookings under the Bikes on Holiday process will require a standard event price, including transportation.

Your bike will not be returned to the Bikes on Holiday process after Mugello and will come back to the UK to either be collected or returned to Spain on your next pre-booked full event package.

Force Majeure:

Focused Events cannot pay any compensation, damages, expenses, costs, losses, or any other amount of any description or otherwise if we must change or cancel a booking, your booking cannot be provided as agreed, or your booking arrangements prove deficient.

We also cannot pay any compensation if you suffer any loss or damage of any description (including death or personal injury) because of circumstances or an event beyond our control (which we could not foresee or avoid even after taking all reasonable care). Such circumstances will usually include cases (whether, actual or threatened) war, terrorist activity, civil unrest, industrial dispute, fire, natural or nuclear disaster, bad weather and all similar circumstances.
